Tasks Team Task Tracking with Deadlines
Assigned. Seen. Done.
Write the subject, pick the person and the deadline, attach the file. The task reaches them by email, and you know the moment they open it.
Who, what, by when. On one board.
Assign work to your team with a subject, a deadline and files. You hear about it the moment they open it; the task moves through To Do, In Progress and Done, and cannot close without at least one logged activity.
Three columns. One flow.
Every task starts in To Do. The assignee moves it to In Progress with “Start working” and closes it with “Complete”. A wrong step is fixed with “Undo”, and the owner can cancel the task while it is still in the first stage.
Did they see it? Now you know.
When a task is assigned, the person gets an email with the attachments. The first time they open it you receive a “Task seen” email, and the card shows when it was last viewed and last worked on.
Every step, on record.
Each piece of work is logged on the task as an activity, with photos, PDFs or documents attached. A task with no activity cannot be marked done.
Deadlines that remind you.
One day before the deadline the assignee is told that only one day is left, and reminded again on the deadline itself. The badge on each card changes colour as the deadline gets closer.
An emailed order becomes a task.
When email order capture spots an order, it opens a pre-order and assigns a reply task, due in three days, to the person who set up the mailbox. Sender, subject and a short summary are already in the description.
One company. One record.
A task can be linked to a customer or to a numbered transaction. Email order capture opens a reply task for every emailed order and ties it to the pre-order, and deadline reminders are scheduled through Reminders.

Questions, answered.
Who can I assign a task to?
Any user in your company group. Each task has a single assignee, and you can create tasks for yourself too.
How do I know the person has seen the task?
The first time they open it, you get a “Task seen” email. The task card also shows when it was last viewed.
Can a task be marked done without any work logged?
No. At least one activity must be logged first; the system will not close a task without one.
Will I get a reminder before the deadline?
Yes. The assignee is reminded one day before the deadline and again on the day. The badge on each card also changes colour as the days run down.
Who can see a task?
Only the owner who created it and the person it is assigned to. Nobody else can open it.
Do emailed orders turn into tasks?
Yes, with email order capture. When an order is found in a message, a pre-order is opened and a reply task, due in three days, is assigned to the person who set up the mailbox.
