Purchasing Purchase Orders, Goods Receipt and Supplier Invoices

Ordered. Received. Invoiced.

A purchase order starts as a draft and opens once you place it. Every delivery is deducted from the order, so the remaining quantity and due date are always in view.

What was ordered. What arrived. What is still due.

The whole supply side, from purchase orders and goods receipt to supplier invoices and quick purchases. Incoming goods enter the warehouse with their lot, expiry date and delivery vehicle, and the invoice lands on the supplier’s account.

One order, start to finish.

Prepare the draft, add the lines and place the order. Goods can arrive in parts, and each delivery reduces what is left. Enter the invoice from the received waybills and the order closes.

Goods receipt, at the gate.

When goods arrive, you record the warehouse, the lot number printed on the label, lot attributes and the expiry date. Pick a package type and the count is worked out from the quantity. The vehicle’s plate and the driver’s name and phone are logged too.

Freight invoices belong here too.

Use a service purchase invoice to record freight, handling or any other service with a description and amount. No stock movement is needed, and it posts to the supplier’s account.

Know what is due, and when.

The expected goods-in report lists the remaining quantity on every open order by due date, so the warehouse knows what is coming before the truck does.

Quick purchase. One step.

For goods that just show up, skip the order: a quick purchase creates the order, waybill and invoice in one step and puts the goods into the warehouse. If you leave the supplier empty, the amount is paid from your own till.

One company. One record.

Goods receipt writes to stock with its lot, and the purchase invoice writes to the supplier’s account. A payment from Cash or Banking settles that same account, and goods waiting for analysis queue up in the Quality Control app.

Questions, answered.

Only part of the order arrived. How do I track the rest?

Each delivery is deducted from the order, and the list shows received and remaining quantities side by side. The expected goods-in report lists what remains by due date.

How do I book goods that arrived without an order?

Use a direct receipt and the order, closing, waybill and stock entry are created in the background. If you also have the invoice, a free purchase invoice or a quick purchase does it all in one step.

Can I enter service invoices such as freight?

Yes. A service purchase invoice records freight, handling or any other service with a description and amount, posting to the supplier’s account without a stock movement.

Are expiry dates tracked?

The expiry date is written to the lot at goods receipt. The Inventory app then flags lots that are close to or past that date.

Can I see e-invoices from my suppliers?

With the e-Invoice app, incoming e-invoices arrive in Assist.
